The SMS Activity report is your primary tool for understanding how much messaging is happening across your dealership and how effectively your team is engaging with leads. It shows you total messages sent and received, the percentage of leads who replied, your average response time, and a full agent-by-agent breakdown — all within whatever date range you choose. Use this report to catch agents who aren’t keeping up with incoming messages, celebrate top performers, and identify your busiest messaging days of the week.

How to Access the SMS Activity Report

In the left navigation menu, click Reports, then click SMS Report. The report loads automatically with the current month’s data.

Filtering the Report

Before reading the data, set the time window and scope that matter to you.
  • Date range: Click the start date and end date fields at the top of the report and select the period you want to analyze. The report updates immediately after you apply the range.
  • Agent filter: Use the agent dropdown to limit the report to a single team member. When an agent is selected, the summary cards and the activity chart both update to reflect only that agent’s activity.
Filter by a single agent and pull up the SMS Activity report before a one-on-one performance review. It gives you an objective, data-backed starting point for the conversation — no guessing, no relying on memory.

Reading the Report

The SMS Activity report is organized into three sections: summary cards at the top, an agent breakdown table in the middle, and an activity timeline chart at the bottom.

Summary Cards

The summary cards give you an at-a-glance view of your dealership’s overall SMS performance for the selected date range:

Agent Breakdown Table

Below the summary cards, the agent breakdown table shows each team member’s individual contribution to the overall numbers. Each row represents one agent and includes:
  • Messages Sent — Total outbound SMS messages sent by that agent
  • Messages Received — Total inbound replies received in that agent’s conversations
  • Response Rate — The percentage of that agent’s leads who replied to at least one message
  • Avg. Response Time — How quickly, on average, that agent replied to a new lead message
Sort the table by any column by clicking the column header. This makes it easy to rank agents by response rate or response time.

Activity Timeline Chart

The timeline chart plots message volume over time for the selected date range. Outbound messages appear in one color and inbound messages in another so you can see the ebb and flow of conversations at a glance. Use the timeline to identify:
  • Your highest-volume messaging days (typically Monday and Saturday for most dealerships)
  • Drops in outbound activity that might indicate a staffing gap or holiday
  • Spikes in inbound messages that your team may have been slow to handle

Exporting the Data

To download the SMS Activity report, click Export to CSV in the upper-right corner of the page. The export includes all rows visible in the agent breakdown table, filtered by your active date range and agent selection. Open the file in Excel or Google Sheets for deeper analysis or to include in a management report.

Use Cases

  • Spot low response rates: Sort the agent table by response rate to identify team members who need coaching or a lighter lead load.
  • Identify peak messaging days: Use the activity timeline to schedule team coverage around your highest-volume periods.
  • Report to management: Export a month-over-month comparison to show ownership how SMS engagement is trending.
  • Track improvement over time: Set the same date range each month and compare response rates to measure the impact of training or process changes.
