User Roles Overview
Dealer Funnel has three built-in roles. Each role is a starting point for access level, and individual permissions can be adjusted from there.Agent
The Agent role is designed for front-line team members who work leads day to day. Agents can:- View and respond to their own conversations in the inbox
- Send SMS and email messages to leads
- Set appointments and update lead statuses
- Enroll leads in automated funnels (if funnel access is enabled)
Manager
The Manager role includes everything the Agent role provides, plus elevated visibility and reporting access. Managers can:- View all agents’ conversations in the inbox
- Filter and search conversations across the whole team
- Run and export reports
- Manage saved conversation filters and lead views
- Create and edit automated funnels (if funnel access is enabled)
Agency Admin
Agency Admins have complete access to the account, including:- All Manager and Agent permissions
- Dealership profile and business hours configuration
- User creation, editing, and deactivation
- SMS widget setup
- CRM and DMS integrations
- Billing and subscription management
- Phone number provisioning and routing
Per-User Permission Toggles
Beyond the base role, you can enable or disable four additional permissions for any individual user, regardless of their role:
These toggles let you tailor access precisely. For example, you might give a senior Agent blast access so they can run their own campaigns, without promoting them to Manager.
Creating a New User

Open the Users Section
Click Users in the left navigation menu to open the user management page.

Start a New User
Click New User in the upper-right corner of the page to open the new user form.

Enter the User's Information
Fill in the required fields:
- First Name and Last Name
- Email Address — this becomes the user’s login username and where their invitation email is sent

Select a Role
Choose Agent, Manager, or Agency Admin from the Role dropdown. Select the lowest role that meets the user’s needs — you can always upgrade permissions later.

Set Additional Permissions
Toggle on any additional permissions (Funnel Access, Blast Access, Report Access, User Management Access) that this user should have beyond their base role.

Save and Send Invitation
Click Save. Dealer Funnel immediately sends an invitation email to the address you entered. The user clicks the link in that email to set their password and access the account for the first time.
