Creating a Voice Agent

Setting up a new voice agent takes three steps: choose an agent type, provision a dedicated phone number, then configure the agent’s script and voice.

Go to AI Voice settings

In your Dealer Funnel account, go to your dealership settings and open the AI Voice tab. This is where all of your voice agents are managed.

Create a new agent

Click Create Voice Agent to open the setup wizard.

Select an agent type

Choose the type of agent that matches your use case — for example, a Service AI agent that handles service appointment scheduling. Your account may have one or more agent types available depending on your plan and integrations.

Provision a phone number

Click Buy Phone Number to assign a dedicated inbound number to this voice agent. Choose an area code that matches your market for a local feel. This is the number callers will dial to reach the agent.

Configure the agent

Set up how your agent behaves on every call:
  • Greeting: Write the opening line the agent delivers when it answers — for example, “Thanks for calling [Dealership Name]! How can I help you today?”
  • Script and special instructions: Provide the agent with your dealership’s key details (hours, location, services offered), the qualifying questions to ask every caller, and any appointment-handling logic.
  • Voice: Choose from a selection of natural-sounding AI voices. Listen to previews and pick the one that best matches your dealership’s brand — whether warm and approachable, professional and polished, or energetic and friendly.

Save and activate the agent

Click Save to store your configuration, then toggle the agent to Active. The voice agent is now live and will answer every call to its dedicated number.

Editing a Voice Agent

To update an existing voice agent’s script, voice, or settings, go to your AI Voice settings tab, click the agent you want to modify, and click Edit. Changes take effect immediately after saving — no downtime or restart required. Update your script whenever your dealership’s hours, promotions, or appointment process changes.

How Calls Are Processed

Understanding the call flow helps you set expectations for your team and configure your script appropriately:
  1. Caller dials the voice agent’s number: The AI answers within seconds with your configured greeting.
  2. Conversation takes place: The agent asks qualifying questions, provides basic dealership information, and handles the caller’s needs based on your script.
  3. Lead record is created or matched: After the call, Dealer Funnel creates a new lead record for the caller (or updates an existing record if the number is already in the system) and places it in your inbox.
  4. Agents are notified: Your team receives a notification about the new or updated lead so they can follow up promptly.

Reading Call Summaries

Every call handled by a voice agent generates an AI-generated call summary that appears directly in the lead’s conversation thread. The summary includes the key points from the call — what the caller was interested in, what information was collected, any appointment that was booked, and any questions the caller had that the agent couldn’t fully answer. Your agents can read the summary in seconds and walk into the follow-up call fully informed.

Routing Callers to a Human

If a caller asks to speak with a live person at any point during the call, the voice agent can transfer the call to a live team member or designated phone number. Configure the transfer destination in the agent’s special instructions by specifying the escalation phone number and the trigger condition — for example, “If the caller asks to speak with a person, a sales manager, or a specific employee by name, transfer the call to [phone number].”
Always test your voice agent with a real call before directing customers to its number. Dial the provisioned number yourself, walk through the full conversation flow, and verify that the greeting sounds correct, the qualifying questions come through naturally, and any appointment or escalation logic works as expected. A brief test call before going live prevents your customers from experiencing a misconfigured agent.
