As your lead volume grows, the ability to slice and organize your inbox becomes as important as the leads themselves. Dealer Funnel gives you two complementary tools for this: Labels, which let you tag individual leads with color-coded categories, and Filters, which let you narrow your entire inbox or Leads table down to exactly the records your team needs to see right now. Together, they turn a busy inbox into a structured, priority-driven workflow.

Labels

Labels are color-coded tags you apply directly to a lead record. They’re free-form by design — you create them to match your dealership’s vocabulary and sales process, not the other way around. Use them to capture context that doesn’t fit neatly into a status or source field. Common label examples:
  • Finance Approved — Buyer has a green light from F&I
  • Waiting for Trade — Deal is on hold pending trade-in appraisal
  • VIP — High-value customer or referral from an existing buyer
  • Event Lead — Came from a specific promotion or show
  • Spanish Speaking — Language preference for the right agent match
  • Hot Internet — High-intent online inquiry needing priority response
  • Recall Campaign — Pulled in through a service recall outreach
A single lead can carry multiple labels at once, so you can tag a buyer as both Finance Approved and VIP without losing either piece of context.
Color-code your labels to mirror your dealership’s visual sales stage system — if your managers use a whiteboard with green, yellow, and red deal stages, match those colors in Dealer Funnel. Your team will recognize meaning at a glance in the inbox without reading every label name.

Creating Labels

Open Label Settings

Go to Settings → Labels. You’ll see a list of all existing labels with their assigned colors.

Add a New Label

Click Add Label in the top-right corner.

Name and Color the Label

Enter a short, descriptive name for the label. Click the color swatch to open the color picker and choose a color that you’ll associate with this category across your team. Click Save.
Your new label is immediately available on every lead record in the system. Only account admins and managers can create or delete labels — agents can apply and remove them on individual leads.

Applying a Label to a Lead

  1. Open the conversation or lead detail view for the buyer.
  2. Locate the Labels section in the lead detail panel on the right side of the screen.
  3. Click + Add Label and select one or more labels from the dropdown list.
  4. The label appears as a colored badge on the lead record and is visible in the Conversations inbox row.

Removing a Label

To remove a label from a lead, click the × icon on the label badge in the lead detail panel. The label is removed immediately. Removing a label from a lead does not delete the label itself — it remains available to apply to other leads.

Filters

Filters control which leads appear in your Conversations inbox or Leads table at any given moment. You can filter by a single criterion or stack multiple criteria together to build a precise view of your pipeline.

Built-In Filter Options

Dealer Funnel includes a set of standard filter dimensions available from the filter bar at the top of your inbox and Leads table. You can combine any number of these filters simultaneously. For example: Status = Hot + Assigned Agent = [Me] + Awaiting Your Response gives you a razor-focused list of your hottest leads who are still waiting on a reply from you.

Saved Filters

A saved filter lets you store a combination of filter criteria under a name and recall it instantly — no re-selecting criteria every time you sit down to work your desk.

Set Your Filter Criteria

In the Conversations inbox or Leads table, use the filter bar to select all the criteria you want to save. Preview the result set to confirm it’s pulling the right leads.

Save the Filter

Click Save Filter (next to the active filter bar). A dialog box appears prompting you to name your filter.

Name and Save

Give the filter a clear, functional name that describes the queue it represents — for example, My Hot Leads, Unassigned + Hot, or Facebook Leads – This Week. Click Save.
Your saved filter appears in the Saved Filters list in the left sidebar of your inbox. Click it anytime to instantly apply that set of criteria.

Filter Visibility: Private vs. Shared

Saved filters are private by default — only the user who created them can see and use them. This lets each agent build a personalized working queue without cluttering their teammates’ inboxes.
Agency admins and dealership managers can create shared filters that are visible to the entire team or to a specific role group. To create a shared filter, follow the same steps above but toggle Shared to on before saving. Shared filters appear in the sidebar for every team member who has access to that dealership’s inbox.

Using Labels and Filters for Team Management

Labels and saved filters are particularly powerful as management tools. Here are a few practical setups that managers use every day.
Create a saved filter combining Status = Hot and Assigned Agent = Unassigned. Check this filter first thing in the morning and before the end of each shift. Any lead in this queue needs to be claimed or manually assigned immediately — unassigned hot leads are one of the most common sources of lost deals.
When you run a targeted campaign — a mailer, a radio spot, a Facebook ad flight — create a label like Spring Sale 2024 and apply it to every lead that comes in from that campaign. Then create a saved filter for that label. You’ll have a living view of exactly how many leads the campaign generated, what their statuses are, and how many turned into appointments or sales.
Managers can create shared saved filters for each agent — for example, Assigned Agent = [Agent Name] + Status = Follow-Up + Awaiting Your Response. Review these filters during one-on-ones to identify conversations that have gone stale and coach agents on next steps.
Apply a Finance Approved label every time F&I clears a buyer. Create a saved filter for that label combined with Status = Warm or Hot. This queue surfaces buyers who are cleared to buy and just need a final push — high-leverage conversations for your closers.
