# User Stats Report: Track Agent Performance and Activity

> The User Stats report shows per-agent metrics including messages sent, response time, leads worked, appointments set, and status changes.

The User Stats report gives managers and agency admins a complete picture of every agent's activity within Dealer Funnel. Instead of relying on self-reporting or gut feel, you get hard numbers: how many leads each agent worked, how quickly they responded, how many appointments they set, and how many deals they closed. Individual agents can also access their own stats to track personal performance goals. Use this report to run more informed one-on-ones, set data-backed benchmarks, and recognize top performers on your team.

## How to Access the User Stats Report

In the left navigation menu, click **Reports**, then click **User Stats**. The report loads with the current month's data for all agents you have permission to view.

## Filtering the Report

* **Date range:** Use the date range picker to set the start and end date for the period you want to analyze. Click **Apply** to refresh the data.
* **Agent filter:** Use the agent dropdown to narrow the report to a single team member. This is especially useful when preparing for individual performance reviews.

## Metrics per Agent

Each agent row in the User Stats report includes the following metrics:

| **Messages Sent**            | Total outbound SMS and email messages sent by the agent during the selected period       |
| **Avg. First Response Time** | The average time between a new lead's first message arriving and the agent's first reply |
| **Leads Worked**             | Number of unique leads the agent contacted at least once during the period               |
| **Appointments Set**         | Number of leads for whom the agent scheduled an appointment                              |
| **Leads Marked Sold**        | Number of leads the agent moved to a Sold status                                         |
| **Funnel Enrollments**       | Number of leads the agent enrolled in an automated follow-up funnel                      |

<Tip>
  First response time is one of the strongest predictors of appointment rate in automotive sales. Studies consistently show that responding to a new lead within the first five minutes dramatically increases the chance of setting an appointment. Use the Avg. First Response Time column as a core KPI in your team's performance targets and coaching conversations.

## Manager View vs. Agent View

What you see in the User Stats report depends on your role in Dealer Funnel:

* **Managers and Agency Admins** see a full table with a row for every agent at the dealership. You can sort by any column to quickly rank your team by any metric, or filter to a single agent for a focused review.
* **Individual Agents** see only their own row and their own numbers. Agents cannot view the stats of other team members. This allows agents to self-monitor their activity and set personal goals without exposing team-wide data.

## Sorting and Comparing Agents

Click any column header to sort the table by that metric. Sorting by **Avg. First Response Time** ascending shows you which agents are fastest to reply. Sorting by **Appointments Set** descending shows your top appointment-setters. Use these sorts to identify both coaching opportunities and agents worth recognizing.

## Exporting the Data

Click **Export CSV** in the upper-right corner of the report to download the full agent table for the selected date range. The export includes all columns visible on screen. Use the file to build custom scorecards, include agent data in team meetings, or archive performance snapshots month over month.

## Use Cases

* **Monthly performance reviews:** Filter to a single agent and a 30-day window to walk through their stats with them in a one-on-one meeting.
* **Setting benchmarks:** Run the report across your full team for the last 90 days to establish baseline averages for messages sent, response time, and appointments set.
* **Identifying training needs:** Agents with high lead counts but low appointment rates may need coaching on messaging strategy or offer presentation.
* **Recognizing top performers:** Sort by Appointments Set or Leads Marked Sold each month and acknowledge your top producers in team meetings.
* **Tracking improvement:** Compare an agent's stats month-over-month after a coaching session to measure whether the training is making a measurable difference.
