# Manage Users, Roles, and Permissions in Dealer Funnel

> Create, edit, and deactivate user accounts in Dealer Funnel. Assign roles and control which features each team member can access and see.

Dealer Funnel's user management system gives you precise control over who can access your account and what they can do inside it. Every team member gets their own login — no shared credentials — and each account is assigned a role that determines their default level of access. On top of roles, you can toggle individual permissions to fine-tune exactly what each person can see and do. Whether you're onboarding a new internet sales rep or promoting an agent to manager, setting up users correctly from the start saves you headaches down the road.

## User Roles Overview

Dealer Funnel has three built-in roles. Each role is a starting point for access level, and individual permissions can be adjusted from there.

### Agent

The Agent role is designed for front-line team members who work leads day to day. Agents can:

* View and respond to their own conversations in the inbox
* Send SMS and email messages to leads
* Set appointments and update lead statuses
* Enroll leads in automated funnels (if funnel access is enabled)

Agents cannot view other agents' conversations, access reports, or make changes to account settings.

### Manager

The Manager role includes everything the Agent role provides, plus elevated visibility and reporting access. Managers can:

* View all agents' conversations in the inbox
* Filter and search conversations across the whole team
* Run and export reports
* Manage saved conversation filters and lead views
* Create and edit automated funnels (if funnel access is enabled)

Managers cannot access billing, phone number management, or account-level integrations — those are reserved for Agency Admins.

### Agency Admin

  The Agency Admin role has unrestricted access to every setting in Dealer Funnel, including billing information, phone number configuration, CRM integrations, and user management. Assign this role only to trusted team members who genuinely need full administrative control. Accidental changes to phone number routing or integration settings can disrupt your entire team's workflow.

Agency Admins have complete access to the account, including:

* All Manager and Agent permissions
* Dealership profile and business hours configuration
* User creation, editing, and deactivation
* SMS widget setup
* CRM and DMS integrations
* Billing and subscription management
* Phone number provisioning and routing

## Per-User Permission Toggles

Beyond the base role, you can enable or disable four additional permissions for any individual user, regardless of their role:

| **Funnel Access**          | Create, edit, and delete automated follow-up funnels |
| **Blast Access**           | Send blast SMS or email campaigns to lead lists      |
| **Report Access**          | View and export any report in the Reports section    |
| **User Management Access** | Add, edit, and deactivate other user accounts        |

These toggles let you tailor access precisely. For example, you might give a senior Agent blast access so they can run their own campaigns, without promoting them to Manager.

## Creating a New User

    Click **Users** in the left navigation menu to open the user management page.

    Click **New User** in the upper-right corner of the page to open the new user form.

  <Step title="Enter the User's Information">
    Fill in the required fields:

    * **First Name** and **Last Name**
    * **Email Address** — this becomes the user's login username and where their invitation email is sent

  <Step title="Select a Role">
    Choose **Agent**, **Manager**, or **Agency Admin** from the Role dropdown. Select the lowest role that meets the user's needs — you can always upgrade permissions later.

  <Step title="Set Additional Permissions">
    Toggle on any additional permissions (Funnel Access, Blast Access, Report Access, User Management Access) that this user should have beyond their base role.
  </Step>

  <Step title="Save and Send Invitation">
    Click **Save**. Dealer Funnel immediately sends an invitation email to the address you entered. The user clicks the link in that email to set their password and access the account for the first time.

## Editing an Existing User

To update a user's name, role, or permissions, go to **Users** in the left navigation, click the user's name to open their profile, then click **Edit**. Make your changes and click **Save**. The updated settings take effect the next time the user performs any action — you do not need to notify them or have them log out.

## Deactivating a User

When a team member leaves the dealership or should no longer have access, deactivate their account rather than deleting it. Open the user record from the Users list and click **Deactivate**. The user is immediately unable to log in, but all of their conversation history, sent messages, and activity data are preserved in the account. This means their leads remain accessible to managers, and their past performance data continues to appear in reports.

To reactivate a deactivated user, open their record and click **Reactivate**. Their access is restored immediately.

## Resetting a Password

Users can reset their own password at any time. On the Dealer Funnel login page, click **Forgot Password**, enter the email address associated with the account, and click **Send Reset Link**. The user receives an email with a link to choose a new password. Password reset links expire after 24 hours.

If a user doesn't receive the reset email, ask them to check their spam folder. If the email still isn't found, confirm that the email address on the user's account matches what they're entering on the login page.
