# Appointment Management for Your Dealership Sales Team

> Dealer Funnel tracks every sales appointment from scheduling through outcome, with automated reminders and follow-up to maximize show rates.

The Appointments module gives your sales team a single place to manage every scheduled interaction with a lead — from the first test drive request to a service follow-up call. Instead of juggling calendar apps, sticky notes, or spreadsheets, your team can set, track, and update appointments directly inside Dealer Funnel, where they're always linked to the right lead and conversation. Automated confirmations, reminders, and no-show follow-ups run in the background so your team can focus on closing deals rather than chasing down appointments.

## Appointment Statuses

Every appointment in Dealer Funnel carries a status that reflects exactly where things stand. Keeping statuses up to date gives you accurate reporting and triggers the right automated follow-up messages.

| Status          | What It Means                                                                                                                       |
| --------------- | ----------------------------------------------------------------------------------------------------------------------------------- |
| **Pending**     | The appointment has been set but has not yet occurred. This is the default status when a new appointment is created.                |
| **Showed**      | The lead arrived for their appointment. Mark this status after the visit to log a successful show.                                  |
| **No-Show**     | The lead did not show up. Marking this status can automatically trigger a follow-up message if you have no-show automation enabled. |
| **Rescheduled** | The appointment was moved to a new date or time. The original appointment is updated and the lead's record reflects the change.     |
| **Cancelled**   | The appointment was cancelled by the lead or your team and will not be rescheduled.                                                 |

## The Appointments Page

The Appointments page is your team's command center for all scheduled activity. Access it by clicking **Appointments** in the left navigation menu.

### Table View

The default view displays a filterable table of every appointment in your account. Each row shows:

* **Lead Name** — click to open the linked conversation
* **Appointment Date & Time** — sorted chronologically by default
* **Appointment Type** — such as Sales Visit, Test Drive, Service, or Phone Call
* **Status** — color-coded for quick scanning
* **Assigned Agent** — the team member responsible for the appointment

Use the filter controls at the top of the table to narrow your view by **date range**, **appointment status**, or **assigned agent**. This makes it easy to pull up today's pending appointments, review last week's no-shows, or check a specific agent's schedule.

### Calendar View

Switch to the **Calendar** tab to see your appointments laid out visually by month or week. Each appointment appears as an event block on the calendar, color-coded by status. The calendar view is especially useful for spotting scheduling conflicts, identifying busy days, and getting a quick picture of what's coming up for your team.

Click any event on the calendar to open the appointment details, update the status, or make edits.

## Appointment Reporting

Dealer Funnel tracks appointment outcomes automatically so you always know how your team is performing. The Appointments report breaks down:

* **Show Rate** — the percentage of pending appointments that resulted in a Showed status
* **No-Show Rate** — the percentage of appointments where the lead did not arrive
* **Appointments by Agent** — a breakdown of how many appointments each team member is setting and their individual show rates

Use this data to identify top performers, spot agents who may need coaching, and measure the impact of changes to your reminder and follow-up configuration.
